Information we collect
To evaluate development proposals, issue statutory approvals, and carry out mandatory construction inspections, we collect the following categories of information:
Personal & contact details
Names, telephone numbers, primary email addresses, billing details, and postal addresses for property owners and applicants.
Property & title data
Site addresses, Lot and Deposited Plan (DP) numbers, zoning certificates, local council details, and existing site conditions.
Technical drawings & reports
Architectural plans, structural engineering computations, geotechnical soil reports, and BASIX / energy compliance certificates.
Inspection records
Site inspection photographs, contractor compliance declarations, and critical stage sign-off logs.
How we use your information
We process personal and property information strictly for genuine building certification purposes, including:
- Assessing Complying Development Certificate (CDC) and Construction Certificate (CC) applications.
- Lodging statutory determination documentation with relevant NSW local councils and the NSW Planning Portal.
- Booking, executing, and reporting on mandatory critical stage building inspections.
- Issuing statutory Occupation Certificates (OC) and official compliance documentation.
- Direct project correspondence regarding request for further information (RFI), site notices, and assessment outcomes.
How we securely store your information
All client and property data, including compliance documents and building plans, is stored using encrypted digital systems with access strictly restricted to authorised CertifiBuild certification staff.
Physical and digital records are retained only as long as legally required under NSW statutory obligations and then securely destroyed. Regular security reviews and audits are conducted to maintain the integrity of our systems.

Disclosure to third parties

- Subcontracted structural, hydraulic, or acoustic engineers and fire safety consultants assisting with application compliance reviews.
